vBots sells task-shaped automation rather than a toolkit. Where most document processing vendors, including Hyperscience and Indico Data, ship an extraction engine that a customer trains against their own document mix, vBots ships thirteen named assistants that each map to one insurance agency job: Submission Intake, Quote Generation, Document Retrieval, Policy Checking, Policy Renewals, Endorsements Processing, Notice of Cancellation, Certificate of Insurance, Email Categorization, Direct Bill Reconciliation, Agency Bill Reconciliation, CSR24 Account Setup, and Data Cleanup. The buyer is an independent agency or brokerage, not an IT department, and the pitch is scaling transaction volume without adding headcount. Development of the product began in 2019.

The corporate history is more tangled than the current branding suggests, and it matters for anyone assessing vendor stability. vBots was named as one of the platforms in CTG's September 2022 acquisition of Eleviant Tech, alongside the PeopleOne intranet and vChat, in a deal that added roughly $10 million in annualized revenue. Cegeka then acquired CTG in 2023. Today vBots is sold by Coventus AI Solutions Inc., which renamed itself from Eleviant Solutions on 18 August 2025, and whose founder and CEO, Jude Ramayya, is the same person quoted as Eleviant's founder and CEO in that 2022 announcement. What the public record does not explain is how the vBots product came to sit outside the CTG and Cegeka group afterwards, and the Coventus site names no parent organization. Ownership and long-term backing are worth raising directly in a procurement conversation.

Third-party visibility is thin but not absent. In July 2026 the Big "I" Agents Council for Technology named vBots a supporting partner, and that announcement is currently the only substantive write-up of the product published by an organization other than the vendor. The homepage also carries logos for Catalyit, NetVU, Independence Insurance, Hug, and the Independent Insurance Agents of Dallas, but these are association and partner marks rather than named customer deployments.

How vBots processes documents #

The workflow starts earlier than most IDP products, with acquisition rather than ingestion. The Document Retrieval assistant logs into carrier portals and downloads policy documents, and the homepage demo panel counts documents retrieved and portals accessed as its headline metrics. For agencies, this matters more than raw extraction accuracy: the manual work is often the portal login and download, not the keying that follows.

Retrieved and emailed documents are then classified and routed. Email Categorization sorts inbound mail by intent, and data extraction pulls fields into the agency management system. Policy Checking is the clearest example of the model: rather than returning fields for a human to interpret, it compares an issued policy against the quote or binder and surfaces discrepancies as exceptions. That is a rules-and-comparison task layered on top of extraction, which is why the vendor describes the architecture as a hybrid of deterministic logic and AI models rather than an end-to-end neural pipeline.

Review stays in the loop. The ACT announcement describes "full human-in-the-loop transparency", and the vendor's stated deployment posture is on-site data control, with processing running inside the agency's own network rather than in a shared multi-tenant service. Coventus has not published a deployment matrix, so the practical boundaries of that claim are unclear. Integration targets existing agency systems: agency management systems, CRMs, and carrier portals. No connector list or API documentation is public.

New business and submission intake

Submission Intake and Quote Generation target the front of the funnel, taking in ACORD forms, loss runs, and broker emails and turning them into structured submissions. Agencies comparing approaches here should also look at Convr and SortSpoke, which attack submission ingestion from the carrier and MGA side, and at ACORD Solutions Group for the standards layer underneath the forms themselves.

Policy servicing and certificates

Policy Renewals, Endorsements Processing, Notice of Cancellation, and Certificate of Insurance cover the recurring servicing load. COI issuance in particular is high-volume, low-judgment work with a hard deadline attached, which makes it a common first deployment.

Accounting and reconciliation

Direct Bill Reconciliation and Agency Bill Reconciliation match carrier statements against agency records. One unattributed testimonial on the vendor site claims a 60% time reduction on reconciliations. This is the workflow where a classification and matching approach pays off fastest, because the inputs are semi-structured statements rather than free-form documents.

What is not independently verified #

The vendor publishes three aggregate figures: $3 million or more in annual cost savings, 10,000 or more hours saved per month, and 100,000 or more transactions processed monthly. None carries a methodology, a customer count, or a time window, so none can be tied to a specific deployment. Testimonials name individuals with their titles and appear alongside agency logos, but no published case study documents how any figure was measured.
