New research from Ford Pro highlights the growing administrative burden facing fleet managers and business owners, with many spending up to 20 hours every month on routine fleet management tasks.

The findings come as Ford Pro introduces Ford Pro AI across Europe, giving commercial vehicle customers a new way to quickly access vehicle information, identify maintenance needs and make faster operational decisions.

Research conducted by Ford Pro among 200 fleet managers in the UK and Germany found that a single unexpected vehicle downtime incident creates an average of 2.4 hours of administration, rising to 2.7 hours for medium and large fleets.

For business owners, finance directors and operations managers responsible for fleets alongside their primary roles, routine administration accounts for between 5 and 10 per cent of their working time. This equates to approximately 15 to 20 hours each month spent managing tasks such as low-emission zone charges, accident claims, fuel receipts and lease administration.

The research also found that 60 per cent of fleet managers regularly spend time tracking and analysing the total cost of vehicle ownership.

Ford Pro AI has been developed to simplify these day-to-day responsibilities by allowing fleet managers to ask questions in natural language and receive immediate answers using data generated by their connected vehicles.

The system analyses information including engine health, maintenance status and vehicle usage to help identify potential issues before they result in unplanned downtime, enabling fleet operators to make informed decisions more quickly.

By reducing the time spent searching through reports and vehicle data, Ford Pro AI enables fleet managers to focus more of their time on planning, customer service and keeping vehicles on the road.
