This is a submission for the Hacktoberfest Open-Source AI Challenge Week 2: Side Hustle InvoiceMate AI β Your AI-Powered Invoice and Expense Assistant
Small businesses and freelancers deal with invoices and receipts every day. Manually entering invoice details into spreadsheets, organizing expenses, and preparing monthly reports can take valuable time.
InvoiceMate AI aims to simplify this process using open-source AI.
Users can upload an invoice or receipt, and the application automatically:
The target users are freelancers, small business owners, independent consultants and accounting assistants who want to spend less time on repetitive data entry.
The goal is to build an affordable tool that makes everyday financial administration easier.
Live Demo: Coming soon.
Video Demo: Coming soon.
The initial version will demonstrate invoice uploads, AI-powered information extraction, expense categorization and report generation.
GitHub Repository: https://github.com/AdeeSL/InvoiceMate-AI The project will be open-source and available for developers to explore, contribute to and improve.
InvoiceMate AI is built around open-source AI and local inference rather than depending entirely on commercial AI APIs.
| Component | Technology |
|---|---|
| Frontend | React + Vite |
| Backend | Python + FastAPI |
| AI Runtime | Ollama |
| Open-weight AI Model | Qwen2.5 |
| OCR | PaddleOCR |
| Database | SQLite |
| Deployment | Docker |
The application follows this workflow:
The AI is responsible for interpreting inconsistent invoice formats and categorizing expenses, making it more than a basic document-scanning application.
Financial documents contain sensitive business information. Sending every invoice and receipt to an external AI service may not be suitable for small businesses.
Open-source AI makes a different approach possible.
Privacy: Local inference allows invoice information to be processed without sending documents to a third-party AI API.
Cost control: Running an open-weight model avoids per-request commercial AI API charges, although hardware and infrastructure still have costs.
Flexibility: Models can be replaced, customized or adapted to different invoice formats and business requirements.
Independence: The application is not tied to a single AI provider, pricing structure or proprietary API.
Community-driven development: Developers can contribute improvements, support additional document formats and adapt the application for different industries.
For this project, open innovation makes it possible to build an AI-powered financial assistant that small businesses can control and potentially afford. Not included in this submission yet.
The first target users are freelancers and small business owners who currently manage invoices and expenses manually.
I plan to share the MVP with a small group of users, collect feedback and identify which features provide the most value.
The goal is to secure the first paying user and use their feedback to improve the product.
