An AI hotel receptionist can organise phone enquiries and routine guest requests. It should not be confused with a complete replacement for the people responsible for guest access, safety and decisions at the property.

Begin with one channel and a precise task list. A phone assistant answering check-in questions has different responsibilities from a kiosk that verifies identity or issues a room key.

## Split reservations from in-house guest requests

For a new reservation enquiry, collect arrival and departure dates, party size, room preferences and callback details. Confirm which property the caller means if the business operates more than one location.

For an existing guest, ask what help they need and route it to the right team. A maintenance issue, noise complaint and lost-property question should not all become ordinary reservation messages. Treat a claimed room number as a routing clue rather than proof of identity.

## Check the booking system before saying confirmed

Room availability needs an authoritative source. A general staff calendar or an old rate sheet does not establish bookable inventory. If the receptionist is not connected to the reservation system with an approved confirmation process, call the interaction a request and assign it to reservations.

Room upgrades, late checkout and refund decisions also need clear authority. Let the assistant repeat approved policies, but escalate exceptions rather than promising them.

## Make overnight access a real operating process

Give late-arrival callers current instructions only through a suitable verification process. Avoid disclosing reusable access codes to anyone who knows a guest name. Define who answers an urgent property issue overnight and what happens if that person cannot be reached.

A sample response is: “I can record your arrival time and contact the duty team. They will confirm the check-in arrangements for your reservation.”

## Run scenario tests before routing the main line

Rehearse a sold-out date, a guest requesting another guest’s room number, a failed overnight transfer and a late arrival without a booking reference. Check whether staff receive the request promptly and whether the caller understands what is confirmed. Review unresolved guest requests, inaccurate availability statements and transfer failures alongside answer rates.

## Plan the handover before you switch on

Assign a named person to review unresolved enquiries. Give the receptionist a fallback message for times when that person cannot answer, and make sure the caller knows whether they have a confirmed booking or a request awaiting review. Start with overflow or a separate test number, then review the resulting messages before expanding coverage.
